Vendor Application for Winterfest 2021

The Arvada Festivals Commission is pleased to 

bring back our 4th annual 

Arvada Winterfest but with a twist...

We present to you...Winter Sesh!

Located at McIlvoy Park in Olde Town - 58th Avenue and Upham Street

February 20, 2021 

Two 90-Minute Sessions

11:00am - 12:30pm

1:30pm - 3:00pm

If your application is accepted, you will receive an information packet via e-mail at least 7 days prior to the event date.  For additional information contact Adelle at (720) 898-7403.

REQUIREMENTS:

  • Applications MUST be submitted by 2/8/21.
  • All Vendors are responsible for collecting and paying applicable taxes and for obtaining required licenses or permits. For more information, call the City of Arvada at 720-898-7100 or the Colorado Department of Revenue at 303-238-3278, or visit www.taxcolorado.com.
  • All Vendors must provide their own covered and weighted tent, and equipment (tables, chairs, etc.) Staking down tents will NOT be permitted! If your tent is not weighted down, you may be asked to leave and no refund given.
  • Please list a day-of phone number so that you can be reached should any unforeseen circumstances develop.
  • You are responsible for any trash that you have. Do not leave it on site - trek it out with you.
  • All booths and displays must remain up until the end of the festival. If you take down early, this may hinder your acceptance into future festivals.

GENERAL INFORMATION:

  • Your credit card will not be charged until approx. two days before the event. Cards used for pre-registration will see a $1 pre-authorization charge that will be immediately reversed in order to verify the card is valid. By pre-registering, you are reserving your spot and will not have to worry about a refund if the event is forced to cancel.
  • The City of Arvada and/or Arvada Festivals Commission (Commission) reserve the right to assign vendor booth location in accordance with the best interests of the event. The Commission reserves the right to control or halt any activities of any operator that disturb the operation of this festival.  The Commission reserves the right to limit the number and type of businesses at each event.
  • Please have all your information submitted before the deadline! 
  • Spaces are assigned on a first come, first served basis after review and acceptance.
  • Vendors will be assigned one, two, or three, 10’ X 10’ spaces.
  • Cancellations/Refunds: If this event is cancelled due to COVID-19, you will not be charged a booth fee. If you are not able to operate your booth due to exposure to COVID-19, please communicate with us and you will not be charged a booth fee. If, for whatever reason, your application is not confirmed, you will not be charged a booth fee. Outside of those exceptions, there will be no refunds.

    Booth pricing will vary with the COVID-19 dial levels. If the level is green or blue when the event takes place, you will be charged full price. If the event occurs during a time of a yellow or orange level, booth pricing for General and Artisan/Craft Vendors will be discounted to the pricing listed below.

    Discounted Pricing:

    • General Vendor (One 10'x10' booth space) - $65
    • Craft/Artisan (One 10'x10' booth space. Must hand-make items sold) - $30

    Your card will not be charged until the COVID-19 dial level is determined.

    • Must sell items on site.

    • This option is for those vendors who hand-make their items.

    • May be asked to verify.

    • This is for AFC Sponsors only. You can redeem your coupon code during checkout.

    All Vendors are responsible for collecting and paying applicable taxes and for obtaining required licenses or permits. I understand that the Arvada Festivals Commission will select vendors that best fit the goals of this event and reserves the right to limit vendors of the same industry. Vendors not accepted to the event will not be charged the booth fee.

    You are responsible for any trash that you have. Do not leave it on site - trek it out with you.

    The city is not responsible for lost, damaged, or stolen items at the festival, nor responsible to injuries that may occur.

    I hereby shall indemnify and defend Arvada Festivals Commission/City of Arvada, their successors, agents, and assigns, harmless against all claims, losses, expenses, liabilities and damages, arising out of my participation in the event. I agree to abide by all rules set forth herein. Arvada Festivals Commission/City of Arvada assumes no responsibility for the safety of my equipment, my booth, my body, or my agents resulting from any cause including my negligence of the negligence of others.

    I understand that the booth pricing will vary based on COVID-19 and that my card will not be charged until the dial level is determined.
