You will be notified via email within one week of applying whether or not you have been accepted into the event. If your application is accepted, you will be emailed an info. packet at least 7 days prior to the event date. When applying, you will be pre-registered with your credit card but we will NOT process the payment until after you have been accepted into the event.

If you have any concerns, please email us or call Adelle at (720) 898-7403. The City of Arvada Festivals Commission will never ask Vendors to send payments to a personal email address.

  • REQUIREMENTS:
  • Applications MUST be submitted by 8/2/2024.
  • All Vendors are responsible for collecting and paying applicable taxes and for obtaining required licenses or permits. For more information about sales tax, call the Colorado Department of Revenue at 303-238-3278, or visit www.taxcolorado.com.
  • For safety reasons, all Vendors must provide their own covered and weighted tent (if using one), and equipment (tables, chairs, etc.) Staking down tents will NOT be permitted! If you cannot weigh down your tent, you WILL be asked to leave and no refund will be given. You do have the option to go without a tent.
  • Please list the day-of phone number and email so that you can be reached should any unforeseen circumstances develop.
  • All booths and displays must remain up until the end of the festival. If you take down early, this may hinder your acceptance into future festivals.
  • Food Vendors must lay down a tarp or cardboard to catch grease and waste. 
  • Propane heaters and open flames are not allowed under tents. 
  • All Food Vendors must be registered with the Tri-County Health Department for this event. For more information, call (303) 439-5921 or visit tchd.org. If you do not comply, you may be asked to leave the event with no refund.

SUSTAINABILITY & ZERO WASTE PLEDGE:

  • ALL VENDORS - If serving food or samples, MUST use recycling or compostable serving materials. There are no exceptions. There are no exceptions. If you do not use recycling or compostable serving materials at the event, your card will be automatically charged a $250 Sustainability Fee. 
  • ZERO WASTE PLEDGE: Once you have been accepted into the event, you will be emailed a Zero Waste Pledge if you are a food-related vendor. You will NOT be allowed to participate in the event until this agreement has been signed and emailed to [email protected] and [email protected] prior to the event day.

GENERAL INFORMATION:

  • Please have all your information submitted before the deadline.
  • Spaces are assigned on a first-come, first-served basis after review and acceptance. Applicants will be notified via email if they are accepted into the event. The City of Arvada and/or Arvada Festivals Commission will select Vendors that are in accordance with the best interests of the event. 
  • Vendors will be assigned one or two 10' x 10' booth spaces based on your selection.
  • The City of Arvada and/or Arvada Festivals Commission reserves the right to assign vendor booth locations. The City of Arvada and/or Arvada Festivals Commission reserves the right to control or halt any activities of any vendor that disturbs the operation of this event. The City of Arvada and/or Arvada Festivals Commission reserves the right to limit the number and type of businesses at the event.
  • Cancellations/Refunds:  This event is a fundraiser. Refunds for cancellations will be honored until August 2. Post August 2, there will be no refunds for cancellations.

Terms & Agreements

I understand all REQUIREMENTS for this event:

Applications must be submitted by date listed above.

All Vendors are responsible for collecting and paying applicable taxes and for obtaining required licenses or permits. I understand that the Arvada Festivals Commission will select vendors that best fit the goals of this event and reserves the right to limit vendors of the same industry. I understand that if I cancel 25 days prior to the event, or once I have been accepted, I will not get a refund. Vendors not accepted to the event will be fully refunded.

I have reviewed the Sustainability Requirements and agree to all the terms.

The city is not responsible for lost, damaged, or stolen items at the festival, nor responsible to injuries that may occur.

I hereby shall indemnify and defend Arvada Festivals Commission/City of Arvada, their successors, agents, and assigns, harmless against all claims, losses, expenses, liabilities and damages, arising out of my participation in the event. I agree to abide by all rules set forth herein. Arvada Festivals Commission/City of Arvada assumes no responsibility for the safety of my equipment, my booth, my body, or my agents resulting from any cause including my negligence of the negligence of others.
